To create the stud.seq file to transfer: At the menu prompt first set your logicals to the building for which you wish to create the file (example) MENU>SIS XXXX/L (replace XXXX with your 4 character building code) Then at the menu prompt run STUDSEQ: MENU>STUDSEQ The first prompt will list your current building and ask if you want to run for the Building or the entire District. Your current building is TEST HIGH SCHOOL Process just this Building or entire District? (B/D)> If you tell the program to process by District, the output file will include all students in the CENT file. This eliminates student duplication by pulling students only from their current building. If you tell the program to process for the Building only, it will ask you to select students by status code. Answer the prompts Y or N for which status of students to include. (usually you will answer yes to A,N,U and No to all others) After finished it will create the STUD.SEQ file. The file layout can be found at DOCS:STUDSEQ.LAYOUT. From there you will need to FTP as below: You will need to FTP to your directory and move the files from your directory to your PC. You may use any FTP program but the instructions below are for the EM320W FTP. Go to the Start Icon/Button at the bottom left side of your screen and click. Move up to "Programs" then over to the right and find EM320W, then over to the right and find EMWFTP. Click on the EMWFTP. It will bring up a box that you will find the fields shown below. Please enter the information below: FTP with EMWFTP, WSFTP or E-Term FTP Host Name/Address: lima2.noacsc.org Host Type: Auto detect User ID: (your username) Password: (your password) then click on "OK" at the bottom This will connect you to the A-site and to your directory, dkuser:[lima.yourlastname] You should be able to see the files on the RIGHT side (remote system). You will highlight (click on) the STUD.SEQ file you are wanting to transfer. Click on the ASCII (ASCII for text only files or binary for text and graphics) so there is a black dot in that option (located at the bottom of the screen). On the left side of your window is your "local system" (your computer hard drive). You will want to be sure you have the directory set to where you want the files located (such as a folder you create - or change directory to the a:\ for your floppy disk). If you need to change the directory because you want them on a disk instead of your hard drive of your computer you can hit the ChgDir button and type in the a:\ drive. After you have the Local system set to the correct folder/directory you can click on the "arrow" button pointing to the left that is in between the "local system" window and the "remote system" window. Your files have been transferred :). Now to create the labels.... Printing STUD.SEQ file as labels using MS OFFICE 97 1. Create and FTP STUD.SEQ file to local hard drive as ASCII type 2. Open Excel 3. Open STUD.SEQ file 4. Text Import Wizard Step 1 0f 3 Use fixed width Click Next Step 2 of 3 Click appropriate tab settings (9, 41, 74, 140) Click Next Step 3 of 3 leave as general Click Finish 5. Select entire spreadsheet by clicking in the blank box above row 1 and to left of column A 6. Place cursor between column headings A and B so you get the horizontal double arrow and then double click to automatically expand all columns to their appropriate widths 7. Delete all unwanted columns 8. Move a student with data in all columns to row 1 9. Save spreadsheet as Microsoft Excel Workbook (*.xls) 10. Close Excel 11. Open Word 97 12. Click Tools 13. Click Mail Merge 14. Click Create 15. Click Mailing Labels 16. Click Active Window 17. Click Get Data 18. Click Open Data Source 19. Open the *.xls file saved in step 9 20. Click OK for Entire Spreadsheet 21. Click Set Up Main Document 22. In the Label Options window Select printer type Select label type 23. Click OK 24. Create Labels window appears 25. Click Insert Merge Field 26. Click on fields in the order you want them to appear. You can add commas, spaces, words, etc. 27. Click OK 28. Click Merge 29. Select all or specify a range of records to include 30. Click Merge 31. Your labels are ready to print
